Client’s Background

The client is a full-service specialist motorcycle showroom for both used and new motorcycles for premium brands such as Royal Enfield, Beta Motor, MV Agusta, etc. Their showroom always has over 180 used cars in stock and of course, they can also supply all brands and models new.

Project Requirements

The client is using a Quick book Enterprise license version. However, while using QuickBook, the client was facing several issues such as

  • Price updation issues: For example, the client received a price updated list from 30+ vendors. However, In the system, 30,000 items exist with different vendors. Thus, it became very difficult for the client to update prices on a monthly basis.
  • Manual Purchase Order Process was difficult.
  • Employee/Mechanic Time tracking issues: Maintaining mechanic working hours was challenging.
  • OCR Billing: After purchase, when the customer receives items it will enter in Quickbooks. Once billing is done, it becomes very difficult since customers receive items from suppliers for 3-4 PO in one delivery.

Solution

Being a leading finance and account solution provider, we at Suma Soft quickly identified the issues in the existing system and we offered the following solutions to the client for their seamless operation

  • Development of quick file upload feature (File format: CSV, JSON, Excel) to get a preview of price list (old price & new price) and takes less time in updating price in the system
  • Created chrome plugin to read vendor cart item list for purchase part and using the same list we created PO in Quickbook.
  • Created bill and sub bill feature for each PO, mapping item receipt and purchase order found in Invoice.
  • Created interface for time tracking, maintain time spent on each bike (servicing & repair), added same hours in SO, create invoice & bike maintenance service history
